CSR procurement initiatives

We have long been committed to CSR procurement, having published the Toppan Forms CSR Procurement Guidelines in 2009. However, in light of CSR-related developments in recent years and the demands of the international community, we revised these guidelines in July 2014. The revised guidelines are comprised of the Company's management philosophy called "San-eki iIchijo - Tria Juncta in uno - Contributions," which refers to realizing in good balance the three benefits of societal benefits, corporate benefits, and individual benefits, the Toppan Forms Group Action Agenda shown below, and the CSR Procurement Standards.

CSR Procurement Standards

We act in accordance with our Action Agenda which indicates a way of acting based on a spirit of compliance and corporate ethics.

1.Basic Procurement Standard
General requirements when conducting business activities
1) Maintenance and improvement of quality We establish appropriate quality control and quality assurance frameworks to maintain the required level of quality, and we constantly endeavor to improve quality.
2) Reasonable price We continuously provide materials, equipment and services at competitive, reasonable prices.
3) Stable supply We constantly endeavor to deliver a stable supply of materials, equipment and services, and we take measures to ensure that we can maintain a stable supply even in unforeseeable circumstances.
4) Product safety We adhere to laws, regulations and standards concerning the control of hazardous substances and product safety, and we endeavor to ensure the health and safety of users and consumers of our products. We also disclose information about product safety such as review findings, without omission.
5) Management of information Confidential business information and personal information is properly managed and protected to prevent its authorized use or leakage. We also establish measures and frameworks for dealing with threats to our computer networks.
6) Compliance with laws and regulations and social norms We conduct our business in an ethical manner, in compliance with the laws and regulations of the countries and regions in which we operate, international conventions and social norms.
7) Fair business activities We compete fairly in business, without obstructing fair competition or engaging in anti-competitive activities.
8) Protection of and respect for intellectual property rights When developing, producing or selling products and services, we make sure beforehand that we are not infringing on a third party's intellectual property rights.
9) Protection of whistleblowers We establish safeguards in our whistleblowing system to ensure that whistleblowers are protected and their concerns are treated in confidence. We also make known to all employees that there will be no reprisals against whistleblowers.
10) Information disclosure We make appropriate and timely disclosures of information about our business activities, management status (financial position and performance) and risks, in compliance with laws and regulations. We also promptly disclose other information, not required by laws or regulations, which affects or might affect our operations.
2. Procurement Standard Relating to Human Rights, Labor, the Environment, and the Prevention of Corruption
Special requirements as a socially responsible company
1) Human Rights We respect the human rights of all those associated with our business activities. We ensure that our activities do not directly or indirectly contribute to human rights violations.
2) Labor
(1) Elimination of forced or compulsory labor
We are not involved in any form of forced or compulsory labor under threat of a penalty or arrest, etc.
(2) Abolition of child labor
We do not employ anyone under the age of 15 (or 14 even if this is permitted by local laws and regulations). Where local laws and regulations specify a minimum age for employment or an age for completing compulsory education that is older than 15 years old, we do not employ anyone younger than the specified age.
Furthermore, we take special care to ensure the health and safety of young employees under 18 years of age and do not allow them to engage in dangerous work.
(3) Elimination of discrimination
When we employ, cultivate, gauge and handle, we do not discriminate on the grounds of race, nationality, religion, age, disability, gender, marital status, sexual orientation or any other criterion.
(4) Elimination of harassment
We do not participate in any form of harassment such as when a superior takes advantage of his or her position or connections in the workplace to cause unreasonable physical pain or emotional distress to a co-worker.
(5) Respect for worker's rights
In labor-management negotiations and other situations, we recognize and respect workers' rights. We also create opportunities for effective communication between labor and management.
(6) Occupational safety and health
We ensure that the working environment and any company housing is safe and sanitary. We also provide training and implement measures to prevent potential accidents, and are prepared in case of an accident.
(7) Payment of appropriate wages
We pay above the minimum wage stipulated by local laws and regulations, and pay wages in accordance with laws, regulations and labor agreements for overtime work. We also provide workers with information about pay & conditions, and pay slips.
(8) Appropriate management of working hours
We satisfy the requirements of local laws and regulations concerning working hours and holidays.
(9) Consideration for employment stability and observance of the obligations of employers
We consider the stability of employment and fulfil our obligations as an employer.
3) Environment We comply with local environmental laws and regulations and also endeavor to prevent air and water pollution and soil contamination. We constantly measure and assess our use of resources and emissions and seek to reduce environmental impact.
4) Prevention of corruption All our employees are prohibited from giving or receiving bribes, practicing corruption, offering or accepting improper advantage, and engaging in coercion or embezzlement, and we take measures to prevent such activities.
