Information Management Solution Company Toppan Forms Co., Ltd. (Toppan Forms hereunder) has started marketing document management system dedicated to document storage center for financial institutions on February 25. By including all necessary features for document management operation as a standard, and eliminating any customization, the company was able to achieve a low price system of 4.5 million yen that includes application software, one unit of hand held terminal, and 10,000 pieces of labels.

The financial industry, is enhancing the internal compliance from the perspective of personal information protection, applying strict management of credit related documents, forms, and other critical documents. By unifying the management at the storage center, management proficiency and operational efficiency of critical documents are improved.

Toppan Forms has been providing assistance to build systems to manage critical documents to the financial institutions. The newly developed system connects document storage center with branches by network, allowing the user to request storage, rent-out, and return critical documents via the web browser. Based on the "Easy-Checkout" asset management system that uses RFID labels, common features of the financial industry's document management system are incorporated that were previously customized. This enables Toppan Forms to cut the implementation period to half and reduce the price to one third.

  • 3. RFID labels attached to the storage box on the shelf can be read at once which significantly reduces operation time and burden.
  • 4. When documents are discarded , the hand held terminal displays the list of documents that have passed the storage period, which allows the actual document to be checked with data, preventing operational errors.
  • 5. The storage box and stored documents are linked and managed as parent child relation preventing any document loss.
  • 6. Item, sequence, name setting on the form on the display can be changed without any programing.
  • 7. Access control can be flexibly set based on user’s department and rights.

Future Plans

Toppan Forms plans to sell 500 million yen by 2015 by targeting mainly the financial sector such as city banks, second tier regional banks, and the warehouse industry.
