DigitalHybrid Company TOPPAN FORMS CO., LTD. (TOPPAN FORMS, hereunder) will launch DocValue, a cloud service for electronic storage that permits the comprehensive management of a large amount of internal company documents and storage, which used to be created by each department or each business system, in an environment with a high level of security. This new service will be available on June 22. A cloud environment has been created for DocValue at a data center in Tokyo using OpenStack, a group of open-source infrastructure software. The service boasts a high level of scalability (system expandability) and flexibility, allowing TOPPAN FORMS to provide the electronic storage service quickly on the scale desired by each customer as necessary. A client-license-free contract has been adopted for contracts with customers, which enables large-scale use of the service at a significantly lower cost. In addition, HTML5 has been adopted as the Web interface, making the service available via multiple devices including mobile terminals. Moreover, the service is available in multiple languages, allowing globally operating companies to easily use internal documents and improve the efficiency of tasks for managing information for the entire company.

Background

Elements required for the information system in a company include the digitalization of internal documents and the effective use of information assets. However, forms for the matters of individual departments have yet to be digitalized on an infrastructural level for the overall business. Above all, many issues exist concerning the electronic storage of forms and documents which are essential for the business operation of a company. Due to globalization, strengthened governance and BCP measures (measures for business continuity and crisis management), it is essential that the electronic storage environment of companies should be managed and operated more strictly and sophisticatedly using information technologies. It is imperative that the overall company go paperless and establish a new infrastructure for an electronic storage environment that can be used globally, in addition to realizing the renewal and internal production of an electronic storage environment aiming for total optimization.

Future development

TOPPAN FORMS will make use of the Enterprise Form Management Service (EFMS), a digital hybrid forms management platform which supports the lifecycle (generation, utilization, storage, and disposal) of forms in paper and digital formats, and provide it in new markets including the manufacturing industry and local governments. The company will strengthen the linkage of DocValue, a service for the storage part of the lifecycle of forms, with Business Process Outsourcing (BPO) and Data Print Service (DPS), to be capable of providing solutions to all businesses of customers. For this purpose, TOPPAN FORMS will strive to create value and expand the range of businesses to which the service can be applied.
TOPPAN FORMS will provide services for the management and long-term storage of digitalized documents, mainly with DocValue, aiming to achieve sales at 2 billion yen by FY2019.
